Business and Office Manager

 

SUMMARY

The Business and Office Manager is responsible for administrative, human resource, office management, and accounting duties. The Business and Office Manager will report directly to the managing Partners and provide administrative support to the entire firm of 18 employees. Primary functions include invoicing, accounts receivable, word processing, editing and formatting of proposals and other documents, administrative and marketing oversight, human resource oversight, and general administrative tasks. In addition, the Business and Office Manager will serve as the intermediate interface between RSG’s accounting, IT, and other vendors/service providers. A great candidate must be able to manage time, quickly execute tasks, keep track of multiple assignments, and be a quick study.

RESPONSIBILITIES

  • Oversight of general accounting and company business metrics

    • Book keeping Duties including maintaining accounts receivable, following up on AR past 120 days, processing payments and making weekly deposits

    • Monthly invoicing of clients

    • Staff timesheet maintenance and preparation of payroll

    • Identify, analyze and communicate financial business trends

  • Provide productivity reports to management and staff as requested

  • Coordinating and interfacing with accounting consultants on account activity, deposits, monthly financial reports and annual budget meeting.

  • Oversight of general accounting and HR activities including

    • Assisting with staff recruitment, on-boarding and termination of employees and benefits enrollment

    • Maintain employee policies and procedures manual

    • Oversee performance review process and maintain employee files

  • Oversight of Administrative/Marketing activities including

    • Maintaining and updating RSG’s Request for Proposal/Statement of Qualifications database

    • Management and preparation of proposals and documents including word processing, editing and formatting using Microsoft WORD

    • Coordinating a limited number of trade show exhibitions, conference participation, and involvement in community organizations Delegating tasks to the Administrative/Marketing Coordinator and following up on task completion

    • Assisting with the composing and editing of quarterly blogs

  • Providing general support to the partners and staff as needed

  • Project management assistance as needed

  • Assist with coordination of IT support and consultant

REQUIREMENTS:

  • BA in Finance or Business Administration with major coursework in accounting, finance, human resources, business systems or management information systems

  • Master’s Degree preferred

  • 2+ years related experience including project management

  • Excellent writing, communication and interpersonal skills required

  • Excellent computer skills and proficient knowledge of MS Office Tools (Outlook, WORD, Excel, PowerPoint)

  • Excellent critical thinking, problem solving, and analytical skills required

  • Familiarity with Xero, Workflow Max or similar business database application preferred. 

  • Must have strong attention to detail

  • Respect for and maintenance of confidential and private matters

  • Understanding of business consulting processes helpful

  • Salary and benefits commensurate with experience.  Starting salary is $65,000/annual

  • Permanent full-time position; available immediately

Research Assistant/Analyst

 

REQUIREMENTS: 

  • Bachelor’s degree or equivalent from an accredited college or university with major coursework in Business Administration, Policy & Planning, Economics, Finance, Public Administration, Real Estate, and/or other related field

    • However, any combination of experience and training that would likely provide the required knowledge and abilities may be considered

  • Applicants must have a car (mileage is reimbursed by the company at current federal rates), a valid California Driver’s license and proof of car insurance

  • Candidates should be comfortable with Microsoft Office Suite (Excel, Powerpoint, and Word)

ABILITIES

  • Collect, research, and analyze property and financial data

  • Create and update Excel spreadsheets using advanced formulas (some involving vlookups and pivot tables)

  • Prepare written reports

  • Assist with housing compliance monitoring (requires travel by car to various Southern California counties, approx. one day per week)

  • Outstanding oral and written communication skills

  • Must be capable of working collaboratively in a dynamic, fast-paced environment with a team of driven and intelligent colleagues
